Social Calendar: Rebuilt in Airtable for Regional Teams

Rebuilt in Airtable for four teams, with a versioned deliverables library and role-based views.

Challenge
Audible’s social content came from the agency, global and regional teams, sales and talent collaborations. The existing Google Sheets calendar worked, but it lived outside Amazon’s approved systems, so the team needed to move to a managed platform. Delivered decks and PDFs could also get lost or go out of date, and each team needed a different view of the same information.

My role
I owned the editorial calendar and scheduling for the US social team. I improved the Google Sheets version, then was asked to build an Airtable version. I used the old calendar as the template, improved it further, extended it to the Canada, LATAM and behind-the-scenes brand teams, and trained everyone who would use it.

Tools
Airtable, Google Sheets, Sprinklr, Bitly, Quip, Iconik

What I did

  • Added a deliverables tab that held every final creative deck, organized by month and split into monthly, campaign-specific and ad hoc decks. I swapped in updated versions as they came, so nothing got lost and teammates always worked from the latest file.

  • Built a home page with quick links to the key documents: how to use the calendar, social post best practices, the deliverables tab and other team resources.

  • Simplified the calendar by removing rows the team no longer used, and created filtered views so colleagues who only needed part of the information could work without the rest.

  • Added dedicated sections for the Canada, LATAM and brand teams.

  • Trained my colleagues, the agency and the regional leads on the new platform.

  • Ran the daily calendar work: pulling in content from agency, global, regional and sales teams, writing and reviewing copy, building tracking links, confirming collaborations and setting posts for review.

  • Led the weekly calendar review with the agency and social team, and managed creative review cycles, which typically ran three rounds per asset.

Results

  • Scheduled or manually posted 3 to 12 posts a day across Facebook, Instagram, X and Threads.

  • Moved the team from Google Sheets to Airtable and extended it from one team to four.

  • Created a single source of truth for final deliverables, designed to prevent lost files and version errors.
